Privacy Policy

1. Overview

This Privacy Policy explains how CleanPoll ("CleanPoll", "we", "us") collects, uses, and protects information when you use the CleanPoll website at cleanpoll.com (the "Site") or install and use the CleanPoll app for Slack (the "App").

2. Scope

CleanPoll is a Slack app that lets teams create polls, publish them in Slack channels, and collect votes through interactive messages. This policy covers the data we process to provide that service. It does not cover third-party services you may use alongside CleanPoll, including Slack itself, which has its own privacy practices.

3. Information We Collect

3.1 Information provided when a workspace installs CleanPoll

When a Slack workspace administrator installs CleanPoll through Slack OAuth, Slack shares with us:

• The Slack workspace (team) ID, enterprise ID (if applicable), and workspace name.
• The Slack user ID of the person who authorized the installation.
• An access token that lets CleanPoll act on the workspace's behalf, and the list of permission scopes granted during installation.

Access tokens are encrypted at rest and are never displayed in the App interface or shared with third parties.

3.2 Information generated through use of the App

When members of a workspace use CleanPoll, we store:

• The content of polls created in the workspace: the question, answer options, and configuration (such as anonymity, vote limits, or closing date).
• The Slack user ID of the person who created a poll, and the Slack channel ID where it was published.
• Votes submitted by members, identified by their Slack user ID, including the option or options they selected.
• Poll templates a workspace saves for its own reuse: a name, a question, answer options, and the Slack user ID of the member who created the template. A workspace's templates are private to that workspace — they are never visible to, shared with, or accessible from any other Slack workspace.
• Basic usage records needed to operate the service, such as when a poll was created, published, or closed.

We identify people by their Slack user ID. We do not request or store Slack profile information such as real names, email addresses, or avatars unless a future feature explicitly requires it, in which case this policy will be updated first.

3.3 Information collected on the Site

The public landing site at cleanpoll.com uses Google Analytics (GA4) to understand traffic and how visitors use the Site, such as pages viewed, referral source, device type, and approximate location derived from IP address. Google Analytics uses cookies to collect this information, which Google processes on our behalf; we have configured it to anonymize IP addresses, and we do not use this data to identify individual visitors or for advertising. Analytics cookies are only set if you accept them through the cookie banner shown on your first visit; you can decline, and can change your choice at any time by clearing your browser's site data for cleanpoll.com. If you email us at the address in this policy, we use your message and email address only to respond to you.

4. How We Use Information

We use the information described above to:

• Operate core App functionality: creating, publishing, and closing polls, and recording votes.
• Provide features such as CSV export of poll results to the workspace that created the poll.
• Maintain the security and integrity of the service, including detecting and preventing abuse.
• Respond to support requests sent to us directly.

We do not sell personal information, and we do not use poll content for advertising.

5. How We Share Information

We share data with Slack as required for the App to function (for example, posting messages and reading interaction events through the Slack API). We use infrastructure providers, such as our hosting and database providers, solely to run the service on our behalf, under confidentiality obligations. We do not otherwise share poll content, votes, or workspace data with third parties, except where required by law.

6. Data Storage and Security

Data is stored in a MongoDB database operated by our hosting provider. Slack access tokens are encrypted at rest. We use industry-standard measures, including transport encryption (HTTPS) and access controls, to protect data against unauthorized access, but no method of storage or transmission is completely secure.

7. Data Retention and Deletion

We retain workspace, poll, and response data for as long as the workspace has CleanPoll installed, so that history, results, and exports remain available to the team.

When a workspace uninstalls CleanPoll, or Slack revokes the access token we were granted, we delete the access token and permanently remove everything that identifies people or reveals poll content: poll questions and answer options, channel information, the identities of poll creators and voters, and any free-text answers. Any templates the workspace created are deleted at the same time; CleanPoll's own built-in templates, which are not tied to any one workspace, are unaffected.

We keep only anonymized, aggregate counts — the number of polls created and responses received — for statistical purposes, such as understanding overall usage of CleanPoll. These counts are no longer tied to the workspace's name or Slack team. If the workspace installs CleanPoll again later, it starts fresh and is not linked to this history. A workspace administrator can contact us at the address below at any time to request that a workspace's data be deleted sooner, or with questions about what is retained.

8. Your Rights and Choices

Depending on your location, you may have rights to access, correct, export, or delete personal data we hold about you. Because CleanPoll operates inside a Slack workspace, most requests (such as deleting a poll or removing the App) can be handled directly by your workspace administrator. You can also contact us to request access to, or deletion of, data associated with your Slack user ID.

9. Children's Privacy

CleanPoll is intended for use by teams and organizations through Slack and is not directed at children. We do not knowingly collect personal information from children.

10. International Data Transfers

We may process and store data in countries other than the one where you or your workspace are located, using service providers that offer appropriate safeguards for cross-border data transfers.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice.
